Proactive Personal Assistant / Administrative Manager to provide comprehensive support to Executive team

Our client is a prestigious foreign commercial bank located in Central, Hong Kong, and we are currently seeking a highly organized and proactive Personal Assistant / Administrative Manager to provide comprehensive support to the executive team. This role requires exceptional organizational skills, attention to detail, and the ability to handle a wide range of administrative tasks. The successful candidate will play a crucial role in ensuring the smooth operation of the office and providing efficient support to the management team.


Responsibilities:


- Act as the primary point of contact for internal and external stakeholders, including clients, partners, and staff.

- Manage the executive's calendar, schedule appointments, and coordinate meetings and conferences.

- Prepare and edit correspondence, reports, and presentations.

- Handle incoming and outgoing communications, including emails, phone calls, and mail.

- Organize and maintain electronic and physical files, ensuring confidentiality and accessibility.

- Arrange travel itineraries, accommodations, and visa arrangements for executives and visiting clients.

- Assist with the preparation and coordination of board meetings and other high-level meetings.

- Take meeting minutes and prepare accurate and concise summaries.

- Conduct research and compile data for reports and presentations.

- Manage office supplies, equipment, and facilities, ensuring a well-functioning and organized workspace.

- Supervise and coordinate administrative staff, delegating tasks and ensuring timely completion.

- Assist with ad-hoc projects and tasks as assigned by the executive team.


Requirements:


- Proven 1- 5 experience as a Personal Assistant, Administrative Manager, or similar role, preferably within the banking or financial industry.

- Excellent written and verbal communication skills in English and Chinese (Cantonese and Mandarin).

- Strong organizational and multitasking abilities, with the capacity to prioritize tasks effectively.

- Exceptional attention to detail and accuracy.

- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.

- Discretion and confidentiality in handling sensitive information.

- Excellent interpersonal and communication skills, with a professional and friendly demeanor.

- Ability to work independently, take initiative, and anticipate needs.

- Flexibility to work outside of regular business hours when necessary.

- Knowledge of banking operations and regulations is a plus.
