Your new role
- Manage vendor relationships end-to-end, including onboarding/offboarding of contingent staff, acting as the primary liaison for vendor HR and back-office teams, and ensuring compliance with operational standards
- Drive coordination and reporting activities by developing high-quality presentations, dashboards, and management reports for senior stakeholders.
- Monitor vendor spend against budgets, support annual budgeting and accrual processes, and perform invoice validation, reconciliations, and first-level reviews.
- Partner with internal functions such as Finance, Accounts Payable, Corporate Services, Travel, Building Management, Security, Mailroom, and Sourcing to enhance operational efficiency.
- Support workforce administration processes including performance review cycles and leave tracking for contingent staff
- Provide executive support through calendar management, meeting coordination, and expense processing for senior management based in Hong Kong
- Plan and execute internal and external events, ensuring smooth coordination of logistics, vendors, and stakeholder communications.
What you'll need to succeed
- Experience in vendor management and workforce coordination
- Proficiency in PowerPoint and report preparation
- Proficiency in Microsoft Office Suite (especially Excel and PowerPoint)
- Financial acumen with budgeting and invoice validation experience
- Excellent stakeholder management and communication skills
